Administrative Assistant

Cathedral School is currently seeking our next Administrative Assistant - the first point of contact for visitors, students, parents, and staff - who will provide a positive and professional experience. This role is essential for maintaining smooth daily operations in the school’s front office, managing communication, handling administrative tasks, and supporting various school departments.


The Administrative Assistant will:

  • Greet and direct visitors, students, parents, and staff with a friendly, professional demeanor.

  • Answer and direct phone calls, take messages, and handle inquiries.

  • Manage school email, responding to general inquiries and forwarding specific requests to the appropriate department.

  • Maintain and update student attendance records, including managing late arrivals and early departures.

  • Assist with student drop-offs and pick-ups, ensuring safety and proper protocols.

  • Coordinate deliveries, mail, and packages, ensuring timely distribution.

  • Provide clerical support such as filing, photocopying, and preparing documents.

  • Support the administration with scheduling and maintaining calendars.

  • Assist in the coordination of school events, meetings, and parent-teacher conferences.

  • Monitor security procedures, including visitor check-ins and sign-outs.

  • Help maintain a clean, organized, and welcoming front office space.

 

The Administrative Assistant has:

  • Certification in a post secondary, office administration program 

  • 3-5 years of experience in a receptionist, customer service, or administrative role, preferably in an educational setting.

  • Strong communication skills, both written and verbal.

  • Excellent organizational skills and attention to detail.

  • Skills to multitask and handle a variety of responsibilities simultaneously.

  • Friendly, approachable, and professional demeanor.

  • Proficiency in Google Workspace, and Microsoft Office Suite, including Word, Excel and Outlook, along with office equipment such as phones, scanners and copiers. 

  • Professionalism to maintain confidentiality and handle sensitive information with discretion.

  • Experience in a school or educational environment as an asset.

  • Familiarity with student management MyEd BC as an asset.

 

Administrative Assistant compensation:
Our school is committed to providing an encouraging and supportive working environment, with competitive compensation and a substantial benefits package.


Compensation for this position will range between $50, 000 to $55, 000 depending on experience and credentials. Adding to this, the successful candidate will be offered to participate in our RRSP contribution program, and both dental and medical benefits plan.
